Terms & Conditions

Booking and Rental Period

Booking a Camping Package

All bookings are made online and confirmed once payment is completed. You’ll receive an email confirmation with your rental and delivery details.
 

Rental Duration

Rentals can be booked through our website for 2 to 14 days. Please contact us if you need a longer booking. 
 

Weekend bookings typically run Friday to Sunday (2 nights).
 

Availability

Availability is shown in real time on our booking calendar.

Delivery, Set Up and Take Down

Preferred Parks

Each booking includes delivery to a select group of Provincial Parks. If you are planning to camp at a different campground, please reach out to us before booking a camping package.
 

Delivery and Set Up Details - Arrive after 3:30 p.m.

Gear will be delivered and set up between 2:00 and 3:30 p.m. on your chosen set up day to the campsite and campground you provided at booking.
 

Please do not arrive before 3:30 p.m. Arriving early may interrupt set up and cause delays.
 

Professional Set Up

All gear is set up and ready for use at your pre-booked campsite.

  • Tents are set up

  • Air mattresses inflated

  • Lanterns are provided with fully charged batteries

  • Stove is set up with fuel
     

Take Down Details - Depart before 12:30 p.m.

Gear will be taken down between 12:30 and 2:00 p.m. on your chosen take down day. Ensure gear is in clean, useable condition before departing.
 

Please depart your site by 12:30 p.m. This ensures we have space and time to inspect and tear down the gear before your Ontario Parks reservation window ends. Additional fees may apply if we are not permitted enough time to properly take down and pack equipment before the next campers arrive.​

Campsite Care

We are not responsible for cleaning up garbage, extra wood or other debris left on the campsite.
 

We recommend you clean your site and firepit before departing to avoid Ontario Parks charges.
 

Reporting issues

Any missing, damaged, or non-functioning items must be reported at the start of your rental.
 

Unexpected delays

Delays may occasionally occur due to traffic, weather, or other factors beyond our control. We’ll always communicate and work to minimize any disruption to your trip.

Changes, Cancellation and Security Deposit

Cancellation Policy

Our cancellation policy allows for a full refund up to 10 days before your delivery date. A penalty of 20% is charged to short notice cancellations of 3 to 9 days. Once your Camping Package is packed and ready to go, no refund can be provided.

 

10 days before delivery date = 100% refund

3 to 9 days before delivery date = 80% refund

2 days or less before delivery date = 0% refund

 

Please contact us if you have any questions as we aim to be fair in all our transactions.
 

Changes to your Booking

Changes to booking dates and campsite locations may be made based on availability.  
 

No-shows

We offer a full delivery and set up service before your arrival. We do not want to leave equipment unattended or on an incorrect site so please let us know if you decide not to go camping – even if it’s at the very last minute.
 

Weather Conditions

Camping package rentals go ahead rain or shine — changing conditions are all part of what makes being outdoors memorable. If severe or unsafe conditions arise, we will assess the situation and determine a fair outcome.
 

Security Deposit

A refundable security deposit is required on all rentals. The amount will be clearly shown at checkout.

A security deposit helps ensure gear is used properly and left in clean, useable condition by all campers.

We may keep all or part of the security deposit if:

  • Gear is damaged beyond normal wear

  • Items are lost or missing

  • Excessive cleaning required

Once your gear is inspected, your deposit will be released within 3 to 5 business days.

If anything needs to be deducted, we’ll always communicate clearly and fairly.

Gear Care and Responsibility

We simply ask that you take care of the gear and treat it with the same level of care you would your own.

A bit of attention goes a long way — things like washing dishes after use, wiping down dirt and debris, keeping things dry where possible and storing items securely during your trip will help prevent damage.

Normal wear from a typical trip is expected. The gear you rent may already show minor signs of wear and tear but will always be in a clean, useable condition.

From the time your rental begins until it’s returned, the gear is your responsibility.

Use of Equipment

Gear is provided for personal use only and may not be sub-rented, loaned, or used for commercial purposes without prior approval.

 

Smoking and vaping are not permitted in any tents. 

Cleaning & Return Condition

Every item is inspected, cleaned and dried between rentals. Gear will be provided in clean, useable condition.

Sleeping bags  are inspected and professionally cleaned after each use.

Return Condition

Gear should be returned in clean, dry, useable condition without excessive dirt, sand or debris.

We are not responsible for cleaning up garbage, extra wood or other debris left on the campsite. We recommend you clean your site and firepit before departing to avoid Ontario Parks charges.

Additional cleaning fees may apply if gear is missing or left in poor condition.

Substitution and Equipment Issues

Substitutions

If an item becomes unavailable, we may provide a comparable or upgraded replacement at no extra cost.
 

Equipment Performance

While all gear is checked before rental, outdoor conditions can vary. If you experience any issues, contact us and we’ll do our best to assist.
 

Refusal of Service

To protect our customers and equipment, we may refuse or cancel a rental where safety, proper use, or adherence to our terms is a concern.

Liability and Assumption of Risk

Camping and outdoor travel naturally come with risks, including changing weather, uneven terrain, wildlife and the use of equipment in remote environments.
 

Your Responsibility

We ask that all customers take reasonable steps to ensure their own safety and the safety of others during their trip. This includes:
 

  • Using equipment correctly

  • Following local park and campsite regulations

  • Using stoves and fuel safely and where permitted
     

By renting from Easy Camping Company, you acknowledge these risks and accept responsibility for your use of the equipment.
 

Easy Camping Company is not liable for injury, loss, or damage resulting from the use of rental gear or campsite set up.
